Tips & Tricks - Conducting Mock HRSA Audits In SectyrHub 340B

Looking to assess your HRSA-audit readiness? SectyrHub 340B’s Mock HRSA Audit workflow will take you through the steps of gathering and reviewing the elements of a data request and completing any necessary follow-up items.

 

Did you know...

1. SectyrHub 340B includes a HRSA Audit workflow that is specific to your covered entity and can be completed as a “mock” audit, pulling documents from throughout the solution into a single location.

The Data Request tab breaks down the elements of a traditional HRSA audit data request. Your entity’s various requirements workscreens (policies and procedures, pharmacy services agreements, etc.) link directly into the data request tab, so you can quickly review outstanding deficiencies and relevant documentation. Other items included in the data request (such as the Locations List and the Medicaid Billing Documentation) pull information from OPAIS into an Excel to jumpstart your review process.

The Generic Files tab serves as a location to upload additional documentation you may choose to have handy. It also provides the option to pull proof of oversight documentation for your internal audits. Simply select which audits you wish to display proof of oversight for by selecting the green plus icons and click Download Proof of Audits. This will download the cover page/ audit details for the selected audits into a zip file on your computer!

2. The HRSA/ Mock Audit workflow not only prepares you for the data request and onsite, but it also guides you through the post-audit follow-up as well. 

Once the onsite date has passed, a fifth tab, Audit Results, populates. You can to upload the final audit report, enter the results of the report, and indicate next steps. The workflow takes you through the various scenarios that may occur (addressing Areas for Improvement, completing Correct Action Plans or Notices of Disagreement, etc.)

Helpful hints, tasking, document uploads and pre-populated due dates and statuses navigate you through the post-audit process. Once complete, everything is archived for historical reference!

 
 

Organization Oversight - The System Perspective 

For those working with multiple covered entities, you can utilize the System dashboard and/or your User dashboard to see what HRSA Audits or Mock Audits are underway. The HRSA Audit Overview table and HRSA Audit Key Upcoming Dates table provide an overview of your covered entities.

The Audits Overview table displays the statuses of open HRSA/ Mock Audits. Click the status names to see which entities fall into each category.

The Key Upcoming Dates table displays the entities in open audits and includes the entity name, key upcoming date, and the name of the related event. Click the entity name to access the specific entity’s dashboard and drill down into the open HRSA/ Mock Audit for additional review.

 
 
Compliance Insight - Keeping Up with HRSA

HRSA tends to send out notices of HRSA audits in batches. Small changes to the data request can occur with each new batch of HRSA audits. To keep you up to speed, Sectyr reviews each new round of data requests to maintain alignment with HRSA’s expectations.
