Using the Annual Risk Assessment and Workplan Tools

Description: This article explains how to start and complete a Risk Assessment and related Workplan

 

Step 1: Click on the "Risk Assessment" icon in the left menu bar.

Step 2: To upload, click the  “Start Annual Risk Assessment” button on the top.

Step 3:  A window will open.  Enter the year of the Risk Assessment, choose "privacy," "security," or both, and enter a due date. Click the “Get Started” button at the bottom right.

Step 4: Under "Filter by Assigned User" click your name to work on your assignments or  “View All Requirements” to see everything.

Step 5:  Use the table of contents on the left to navigate through the questions. As you answer the questions, also use the "select documents" button on the top right to choose documents that backup the answers you are providing. These documents will also be included in your final report. If a document you want to reference is not available, it can be added by clicking the "Policies and Documents" button on the left navigation bar.

Step 6:  The document(s) will now appear in the document box, where you can take the following actions after clicking "save" at the bottom of the screen:

  • View: click the "pop out" icon
  • Download: click the "down arrow" icon
  • Delete: click the "X" icon

Step 7: When all of the questions have been answered and you are ready to close the Risk Assessment, go to "Admin Actions" on the left and select "Complete Risk Assessment and Start Workplan" A pop up will appear, and after that you will be taken to the Workplan.

Step 8: On the left, you will see all of the requirements that were marked "partially" or "no." 

Step 9: Select a date the that the rest of the information on the screen must be completed by.

Step 10: Choose the name of the person responsible under "Assigned To."

Step 11: Click the slider next to "Include in Workplan" to change to "no" for any requirements you don't want to include in the workplan. You can change it back to "yes" at any time. 

Step 12: Click "Save" at the bottom of the screen.

Step 13: When you are finished adding requirements, select "Email Task Notification" under "Admin Actions" on the left. This will notify staff that they have assignments.

Step 14: When the "Current Process/Situation and "Remediation Plan" are complete for a requirement, click the box at the bottom that says "Check Once Complete." This will mark that Workplan item as completed.

Step 15: When all of the Workplan items are complete, or if it is time to close out the Risk Assessment and Workplan and start a new one, click "Complete Workplan" under "Admin Actions on the left. The Workplan will be available via the "History" icon on the left navigation bar.
