Description: This article explains how to determine Continuous Compliance Task frequency.
There are four frequency options for Continuous Compliance Tasking. Choosing the right frequency for each task is more of an art than a science, and it will probably take some experimentation.
Monthly and Quarterly Tasking: These tasking frequencies are most useful for making sure that documents that are created on a regular basis are uploaded in a timely manner. Examples include board meeting minutes and patient satisfaction surveys. In addition to helping you keep all of the documents in one place, setting up frequent tasking will alert you if something is missing (perhaps the quarterly risk assessment was overlooked, for instance) in time for you to correct the mistake and avoid a finding from HRSA.
Semi-Annual and Annual Tasking: Most of the tasks you create will likely be done on one of these frequencies. If your health center is growing and evolving, you may want to review the majority of the Compliance Requirements semi-annually. However, if your health center is well-established and there are few changes in policies, procedures, and outside relationships, annual review may be more appropriate. You can get very granular and customize your tasking to whatever works best for you-- for instance, you might want to review Form 5a semi-annually because you are often adding or removing contracted services, while your credentialing process is well-established and annual review would be sufficient.
Before OSV Only: This tasking schedule makes sense for items that can easily be assembled in a short time right before the OSV, such as samples of charts or current staffing profiles.
