Description: This article explains the workflow for the recertification workflow accessed from the covered entity level. The workflow will guide users through the steps to prepare for and complete the recertification process as well as provide a repository for related documentation 

Click the pencil icon located by the 340B ID at the top of the screen to enter edit mode. 

To save your work at any time, click the "Save and Continue" or “Save and Exit” buttons located at the bottom of the screen.     

 

Create a New Recertification Window: 

To add a new recertification workscreen to document the recertification process:  

  1. Click the Recertification tile located near the bottom of the covered entity dashboard. 
  2. Click the New Window button. This will direct you to a new recertification workscreen 
  3. Enter the start and end dates of the recertification window. 

Once created, the open recertification workflow can be accessed from the top of the covered entity dashboard. 

 

The Workflow: 

At the top of the workflow, you can:

  • Indicate who will be responsible for the recertification. They will receive email reminders until all the steps are marked as complete in SectyrHub (Email reminders can be turned off by  clicking the bullhorn icon).
  • Upload files related to the recertification process.

There are 4 steps broken out across 4 tabs. 

Step 1: Validate OPAIS Data 

Step 1 will show the total numbers of OPAIS items that need to be reviewed.  

Use the “Click Here” link under the OPAIS Review header to be redirected to the OPAIS workscreen to inspect the items for review. As a reminder, items for review summarize changes/additions made within the OPAIS database for your covered entity. You will want to confirm that the information in OPAIS/SectyrHub is up to date and accurate.    

Once OPAIS information has been examined, summarize any notes, changes, or concerns within the Summary text box for review with the AO. This information will be stored for historical reference as well.  

Select Complete from the status dropdown once the OPAIS data has been internally reviewed. 

  

Step 2: Review Eligibility Documentation 

Step 2 links to the entity's eligibility documentation workscreens.  For each type of eligibility documentation that is required, the solution provides guidelines for review. Click the hyperlinked names in the Resources column to access a given eligibility workscreen 

Once the eligibility documentation is examined, summarize any notes, changes, or concerns within the Summary text box for review with the AO. This information will be stored for historical reference as well.  

Select Complete from the status dropdown once the eligibility documentation has been internally reviewed.  

 

Step 3: Complete Tasks in OPAIS  

Step 3 provides a link to the OPAIS Database through which the primary contact and AO can complete the steps outlined within the database. This can only be completed when the covered entity is within the recertification window, at which point the status will read "Recertify Now."  

   

Step 4: Attest  

Only the AO can complete the attestation. The recertification cannot be reviewed by HRSA until the attestation is complete. Step 4 provides the opportunity to indicate that the AO has completed the process.  

Utilize the email template to reach out to your AO if desired.  

  • Click the eye icon to view the email template’s text. 
  • Click the clipboard icon to copy the text to your clipboard. 

Select Complete from the status dropdown once the tasks in OPAIS have been completed. 

Once Step 4 is marked as complete, the status will change from "Recertify Now" to "Pending OPAIS Approval," indicating that the steps have been completed. While HRSA does not always request additional information, the AO and PC should anticipate an email from HRSA requesting additional documentation during this time. Once a new "last recertified date" is imported from OPAIS, the status will cycle back to Awaiting Window and the recertification cycle will be archived.
