Description: The following steps will guide you through the Master Documents workscreen process accessed from the System level. The Master Documents Workscreens provide system users with the opportunity to manage documents that apply to more than one covered entity from a single location.
(Tip: Click the information icons available throughout the workscreen to see additional information.)
All required fields are indicated by a red asterisk (*).
Create a Master Documents Workscreen:
To create a new Master Documents workscreen, click the "New Workscreen" button located in the top right corner of the listing page (accessed from the System Dashboard). This will direct you to a new workscreen where the documents can be uploaded and information added. Note that the workscreen must have a name in order to be saved.
To save the workscreen at any time, click the blue "Save" button located at the bottom of the screen.
Files:
Multiple files can be added to a workscreen. It is helpful to think of the workscreen as a "portfolio" where you can store the related documentation. For instance, you may decide to upload all corporate policies and procedures documents that apply to your DSH covered entities.
To add a file, click the "Select Files" button and select the appropriate files from your computer.
Once a file is uploaded, add an optional description as free text, select the document type (Original, Original w/ Amendment, Amendment/ Notice, Other), and set a status (Executed, Archived, Draft). Note that it will default as type Original and status Draft.
Please note that Draft documents will not be referenced within entity-level workscreens. Only documents with an Executed or Archived status will be available at the entity levels.
To delete a file, click the red X located in the actions column.
Description and Point of Contact:
If there is helpful information regarding the documents you would like to have available at a glance, it can be added as free text within the Description box located at the bottom of the workscreen. The Description box allows for formatting as well.
To add additional points of contact for the workscreen, click the "+Add Contact" button and fill in the additional fields. Multiple points of contact can be added.
Once completed, click the blue "Save" button located at the bottom of the screen.
Related Requirement:
Indicate the Related Requirement by selecting one of the options from the dropdown. The uploaded documents will be available to reference for the workscreens of the selected requirement type. The requirement workscreens that are capable of referencing master documents are Pharmacy Services Agreements (PSAs), Policies & Procedures, and Indigent Care Agreements. If None is selected from the dropdown, the documents will be housed at the System level only.
Selected Entities:
Select the Covered Entities that should have access to the documents uploaded within the Master Documents Workscreen from the dropdown.
Select the name of the covered entity from the dropdown and click "Add Selected". The covered entities listed in the dropdown reflect the covered entities within the System. If the Master Documents should be available for reference at multiple covered entities, you can filter the list by typing in the word/phrase by which you would like to filter and clicking "Set Filter". The dropdown will then show only the covered entities that contain the given filter. Click "Add All" to select the covered entities included in the filter.
If a covered entity was selected in error, click the red "X" to remove it from the workscreen.
The Master Documents workscreen (and its included documents) will then be available to reference within the related requirement workscreens for the selected covered entities.
